Terms & Conditions

These are the terms under which MiniTreks provides its services. We've written them in plain language, no unnecessary jargon. If you have any questions, reach us at [email protected].

Your Agreement

By accessing minitreks.com or placing a booking, you agree to be bound by these Terms and Conditions. Please read them carefully before proceeding.

  • These Terms apply to all visitors, registered users and anyone who books a tour, transfer or service through MiniTreks, whether on behalf of themselves or other travellers.
  • If you are booking for other people, you accept these Terms on their behalf and are responsible for ensuring they are aware of and comply with them.
  • These Terms are governed by the laws of the United Republic of Tanzania. Any disputes will be subject to the exclusive jurisdiction of Tanzanian courts.
  • We may update these Terms at any time. Material changes will be communicated by email or a notice on our website. Continued use after changes constitutes acceptance.

Our Services

MiniTreks offers curated tours, safaris, treks, transfers and custom itineraries across Tanzania. We act both as a direct provider and as an agent for third-party operators.

  • Services booked through MiniTreks are for the personal use of the named travellers only and may not be resold or transferred without our written consent.
  • Where MiniTreks acts as an agent for a third-party operator (e.g. a national park concessionaire, hotel or specialist guide), the operator's own terms also apply to that portion of your booking.
  • Tour descriptions, itineraries, images and inclusions on our website are as accurate as possible but may be subject to change due to seasonal conditions, park regulations or circumstances beyond our control.
  • MiniTreks reserves the right to modify, substitute or cancel any service, tour route or accommodation if conditions require, always with the aim of delivering an equivalent or better experience.
  • We may decline or cancel any booking at our sole discretion, in which case any payments made will be refunded in full.

Booking & Confirmation

A booking is confirmed once you receive a written confirmation from MiniTreks and the required deposit or full payment has been received.

  • To secure your booking, a deposit of 30% of the total tour cost is required at the time of booking. The remaining balance is due no later than 14 days before the tour start date.
  • For bookings made within 14 days of departure, full payment is required at the time of booking.
  • You will receive a booking confirmation by email containing your itinerary, meeting point, guide contact details and any preparation notes specific to your tour.
  • It is your responsibility to review the confirmation carefully and notify us within 48 hours of any errors or discrepancies.
  • Some specialist tours (e.g. Kilimanjaro climbs, fly-camping, private charters) may require additional deposit amounts or longer lead times, these will be specified at the time of enquiry.
  • Prices quoted are in USD unless otherwise stated. MiniTreks reserves the right to adjust prices prior to confirmation due to exchange rate fluctuations, fuel surcharges or government-imposed levies.

Payment

MiniTreks accepts a range of payment methods for your convenience. All payments must be settled before your tour commences.

  • Accepted methods: bank transfer, credit/debit card (Visa, Mastercard), mobile money (M-Pesa, Tigo Pesa) and secure online payment via our payment gateway.
  • All card payments are processed via PCI-compliant third-party processors. MiniTreks does not store your card details.
  • Any bank transfer fees, currency conversion charges or international transaction fees are the responsibility of the customer.
  • Prices displayed include applicable Tanzanian taxes and standard park fees unless explicitly marked as excluded. Some permits (e.g. Zanzibar conservation fees, gorilla permits) are excluded and will be itemised separately.
  • MiniTreks will issue a receipt upon payment. Please retain this for your records.
  • In the event of a pricing error on our website, MiniTreks reserves the right to correct it and offer you the option to proceed at the corrected price or receive a full refund.

Cancellation & Refund Policy

We understand that plans change. Our cancellation policy is designed to be fair to both travellers and the local guides, operators and communities who rely on confirmed bookings to prepare your experience.

  • All cancellation requests must be submitted in writing to [email protected]. The effective cancellation date is the date we receive and acknowledge your written request, verbal or WhatsApp cancellations alone are not sufficient.
  • FULL REFUND, Cancellation more than 30 days before departure: you will receive a full refund minus a 5% processing fee to cover payment gateway and administration costs.
  • 75% REFUND, Cancellation 22-30 days before departure: 25% of the total booking value is retained to cover non-recoverable costs already committed to suppliers, guides and park authorities.
  • 50% REFUND, Cancellation 15-21 days before departure: 50% of the total booking value is non-refundable. At this stage, accommodation, permits and guide slots are typically pre-confirmed and non-recoverable.
  • 25% REFUND, Cancellation 8-14 days before departure: 75% of the total booking value is non-refundable. Permits for Kilimanjaro, Serengeti and other national parks are purchased in advance and are entirely non-refundable at this stage.
  • NO REFUND, Cancellation 7 days or less before departure or no-show on the day: the full booking value is forfeited. All resources including guides, vehicles, permits and accommodation will have been fully committed.
  • DEPOSITS, Deposits paid at the time of booking are non-refundable if you cancel within 14 days of departure, regardless of the above schedule.
  • PARTIAL CANCELLATIONS, If one or more travellers from a group cancels while others proceed, refunds will be calculated based on the per-person share of the booking. Single-supplement charges may apply to remaining travellers if the booking structure changes.
  • RESCHEDULING, If you wish to change your travel dates rather than cancel outright, we will make every effort to accommodate your request at no charge if notified more than 21 days before departure, subject to availability. Rescheduling within 21 days of departure is treated as a cancellation and re-booking and the cancellation schedule above applies.
  • OPERATOR-INITIATED CANCELLATIONS, If MiniTreks cancels your tour for reasons within our control, you will receive a full refund of all amounts paid or the option to rebook at no additional cost. We will notify you as soon as the decision is made.
  • FORCE MAJEURE CANCELLATIONS, If your tour cannot proceed due to events outside our control (extreme weather, government travel bans, park closures, natural disaster, civil unrest, epidemic or pandemic), MiniTreks will refund all costs successfully recovered from third-party suppliers. Non-recoverable costs, including purchased park permits, domestic flights and pre-paid accommodation, cannot be refunded and will be clearly itemised. We will work with you to reschedule wherever possible.
  • KILIMANJARO & SPECIALIST TREKS, Due to the lead time required to secure KINAPA permits and crew slots, cancellations for Kilimanjaro and other multi-day trekking packages follow a stricter schedule: full refund beyond 45 days, 50% refund 30-45 days, no refund within 30 days of departure.
  • REFUND PROCESSING, Approved refunds are returned to the original payment method within 7-14 business days. Bank transfer fees and currency conversion differences are the customer's responsibility. MiniTreks is not liable for delays caused by your bank or payment provider.
  • TRAVEL INSURANCE, MiniTreks strongly recommends purchasing comprehensive travel insurance that includes trip cancellation cover, medical evacuation and personal liability. A good policy will cover scenarios where our cancellation policy would otherwise result in a loss, including illness, family emergencies and Force Majeure events.

Amendments & Changes

If you need to amend your booking, contact us as early as possible. We will always do our best to accommodate changes.

  • Amendment requests must be made in writing and are subject to availability.
  • Changes made more than 14 days before departure may be processed at no charge, subject to availability and any third-party cost differences.
  • Changes made within 14 days of departure may incur amendment fees and are subject to operator availability.
  • Date changes, participant additions or itinerary upgrades may result in a price difference which must be settled before the tour departs.
  • Name corrections (spelling fixes, legal name updates) are always free of charge.
  • Downgrading a booking (e.g. removing participants, shortening a trek) within 14 days of departure will be treated as a partial cancellation and subject to the cancellation policy above.

Passports, Visas & Health

It is entirely your responsibility to ensure you hold the correct travel documents, visas, vaccinations and permits for Tanzania before departure.

  • All travellers must hold a valid passport with at least 6 months validity beyond their intended return date.
  • Most nationalities require a visa to enter Tanzania. You can obtain a Visa on Arrival at Julius Nyerere International Airport or apply in advance via the Tanzania e-Visa portal (eservices.immigration.go.tz).
  • Proof of Yellow Fever vaccination is required if you are arriving from a country where Yellow Fever is endemic. Malaria prophylaxis is strongly recommended for all travellers.
  • For Kilimanjaro, Serengeti, Ngorongoro and other national parks, MiniTreks will arrange all required park fees and permits as part of your booking, these will be itemised in your quote.
  • MiniTreks strongly recommends comprehensive travel insurance covering medical evacuation, trip cancellation and personal liability. Some adventure activities may require specialist coverage.
  • MiniTreks is not liable for any loss, delay or expense caused by your failure to hold the correct documents, vaccinations or permits.

Customer Conduct

MiniTreks operates in Tanzania's protected natural and cultural spaces. We expect all travellers to conduct themselves with respect for people, wildlife and the environment.

  • You must follow the instructions of your guide at all times. In the interests of safety or park regulations, guides may modify activities without prior notice.
  • Behaviour that endangers other travellers, wildlife or local communities will result in immediate removal from the tour without refund.
  • All travellers must comply with Tanzania National Parks Authority (TANAPA), Ngorongoro Conservation Area Authority (NCAA) and any other relevant regulatory body rules.
  • Wildlife viewing guidelines must be respected at all times, this includes maintaining safe distances, not feeding animals and following no-drone rules in protected areas unless a permit has been obtained.
  • MiniTreks reserves the right to refuse service to any person who is disruptive, intoxicated or poses a risk to others.
  • Commercial use of photographs, videos or content captured on MiniTreks tours (e.g. for advertising or paid media) requires our prior written consent.

Reviews & User Content

We value honest feedback. After your tour, you may receive an invitation to leave a review, this is optional but greatly helps future travellers.

  • Reviews must be based on your genuine, first-hand experience. Fabricated, incentivised or malicious reviews are prohibited.
  • Reviews may not contain personal information of third parties, offensive language, hate speech or content that violates any applicable law.
  • By submitting a review, you grant MiniTreks a non-exclusive, royalty-free licence to display, edit and republish it across our platforms for the purpose of informing future customers.
  • MiniTreks reserves the right to remove or decline to publish any review that violates these guidelines, without notice or explanation.
  • One review per booking per traveller is permitted. Repeated or duplicate reviews may be removed.

Intellectual Property

All content on minitreks.com, including text, photographs, tour descriptions, logos and branding, is owned by or licensed to MiniTreks.

  • You may not copy, reproduce, modify, distribute or commercially exploit any content from minitreks.com without our prior written consent.
  • You may share links to our website and save content for your own personal, non-commercial reference.
  • MiniTreks's name, logo and branding may not be used in any form without written permission.
  • If you believe content on our site infringes your intellectual property rights, please contact us at [email protected] with details and we will investigate promptly.

Liability & Disclaimers

Participation in safari, trekking and adventure activities carries inherent risk. By booking with MiniTreks, you acknowledge and accept these risks.

  • MiniTreks is not liable for personal injury, illness, death, loss or damage to property arising from participation in tours or activities, except where caused directly by our proven negligence.
  • MiniTreks is not liable for delays, missed connections or additional costs caused by weather, strikes, civil unrest, wildlife behaviour, government action or any other circumstances beyond our control.
  • Where MiniTreks acts as agent for a third-party operator, that operator bears primary liability for the service they provide. MiniTreks will assist in resolving disputes but is not the party to that contract.
  • Our maximum liability to you in any circumstance is limited to the total amount paid by you to MiniTreks for the affected booking.
  • Nothing in these Terms limits our liability for death or personal injury caused by our own negligence, fraud or any liability that cannot be excluded under Tanzanian law.
  • Website information is provided in good faith but without warranty of accuracy, completeness or fitness for a particular purpose.

Force Majeure

MiniTreks shall not be held liable for failure to perform obligations where that failure is caused by events outside our reasonable control.

  • Force Majeure events include but are not limited to: acts of God, extreme weather, natural disasters, epidemics or pandemics, government travel advisories, civil unrest, war, acts of terrorism, industrial action and park or border closures.
  • In the event of Force Majeure, MiniTreks will notify you as soon as reasonably possible and will work with you to reschedule, issue a credit or refund whatever costs are recoverable from suppliers.
  • MiniTreks will not be obligated to refund non-recoverable third-party costs (e.g. permits, park fees, domestic flights) already disbursed prior to the Force Majeure event.
  • We strongly recommend travel insurance that specifically covers Force Majeure cancellations, as this provides the most comprehensive protection in such circumstances.

Account Suspension & Termination

MiniTreks may suspend or terminate your account and any pending bookings if you violate these Terms or engage in fraudulent or harmful conduct.

  • Termination due to your breach may result in forfeiture of any bookings made, without refund.
  • If your account is terminated, you may not create a new account without our written consent.
  • MiniTreks will not be liable for any loss or inconvenience arising from a lawful account suspension.
  • Upon termination, provisions of these Terms that by their nature should survive (including liability limitations, intellectual property rights and dispute resolution) will remain in effect.

Miscellaneous

A few final points that keep things clean and enforceable for both parties.

  • Severability, if any clause is found unenforceable, the remaining Terms continue in full effect.
  • Entire Agreement, these Terms, together with our Privacy Policy and any booking confirmation, constitute the entire agreement between you and MiniTreks.
  • No Waiver, failure to enforce any provision does not constitute a waiver of our right to enforce it in the future.
  • Assignment, you may not transfer your booking or account rights without our written consent. MiniTreks may assign rights to a successor entity without notice.
  • Language, these Terms are written in English and this version governs. Translations are provided for reference only.
  • Privacy Policy, your use of MiniTreks is also governed by our Privacy Policy, which is incorporated into these Terms by reference.
